Terms and conditions.

Website, registrations, tickets and partnerships. Version 1.0, 28 October 2026.

Techlounges Association, Basel (CH), commercial register CH-270.6.000.998-0. The festival is in preparation: programme, venues and speakers are provisional until published as final.

1. Who we are

The Basel AI Festival is organised by Techlounges Association ("Techlounges", "we", "us"), an association entered in the commercial register of Basel-Stadt under CH-270.6.000.998-0, with its seat in Basel, Switzerland, postal address 4000 Basel. The full street address is stated on our invoices and provided on request. Contact for everything in these terms: info@techlounges.com.

The festival is scheduled for 1 to 6 February 2027 in the Basel region. This website describes an event in preparation: the programme, venues, speakers and formats are provisional until published as final.

2. Scope

These terms apply to your use of baselaifestival.ch in all language versions, to registrations and tickets, and to partnership or sponsorship arrangements, unless a signed agreement says otherwise. For partners, a signed offer or contract prevails over these terms where the two differ.

By using the site, registering, buying a ticket or confirming a partnership, you accept these terms. If you do not accept them, please do not use the site or register.

We may update these terms for future use of the site or future events. The version published at the moment of your registration or purchase governs that transaction.

3. Using this website

You may read the pages, share links to them, and download material for personal, non-commercial use.

You may not scrape or systematically extract content, probe or test the security of the site, attempt to bypass access controls, interfere with availability through automated requests, impersonate another person, or use the site for unlawful purposes or to infringe the rights of others.

The site is informative and provided as it is. Programme, speakers, rooms and times may change. We do not warrant uninterrupted availability and we do not warrant that every page is free of error. Links to third-party sites are not an endorsement and we do not control their content.

4. Registration and tickets

Most festival formats are free of charge and require registration. Places are limited and allocated in order of registration unless stated otherwise. The Basel AI Summit day and the festival pass are paid formats.

Prices, currency, VAT treatment and accepted payment methods are those shown at checkout at the time of your order. A contract for a ticket is concluded when we send the confirmation. We may refuse or cancel an order in the case of an obvious pricing error, suspected fraud, or breach of these terms, and we refund any amount already paid.

A ticket is a personal licence to attend, not a security. You may transfer it to another person free of charge by notifying us up to 48 hours before the event; the person receiving it accepts these terms.

Admission may be refused where a venue is full, for security reasons, or where the house rules in clause 7 are breached.

5. Prices, invoicing and payment

Prices are in Swiss francs and include VAT where applicable, plus any booking fee shown at checkout. Online payments are processed by the payment provider named at checkout; we do not receive or store complete card details.

Partner and sponsor fees are invoiced and payable within 30 days of the invoice date unless the offer states otherwise. In case of late payment we charge default interest of 5% per year under Art. 104 of the Swiss Code of Obligations, plus reasonable reminder costs, and we may suspend agreed deliverables or release a reserved place.

If you reverse a payment or open a chargeback without justification, you bear the costs it causes and we may suspend your registration or partnership.

6. Changes, postponement, cancellation and refunds

We may change individual sessions, speakers, rooms or the running order where necessary. A change to an individual session is not a cancellation of the festival or of a ticketed day.

If we cancel the festival or a ticketed day, you receive a full refund of the amount paid for the affected ticket, to the original payment method, within 30 days.

If we postpone the festival, tickets remain valid for the new date. If you cannot attend the new date, you may request a refund within 30 days of the announcement.

If you cannot attend, tickets are not refundable, but you may transfer them as described in clause 4.

In cases of force majeure or official orders, including severe weather, security incidents, epidemics, authority orders or venue unavailability, we may postpone, relocate or cancel. In that case we refund the ticket price or, at our choice, issue a voucher valid for 24 months for the same festival.

We do not reimburse travel, accommodation or other ancillary costs, except where mandatory law provides otherwise.

For consumers in the European Union and the EEA: the 14-day right of withdrawal does not apply to leisure services supplied on a specific date, under Art. 16(l) of Directive 2011/83/EU. For any other service, mandatory consumer law applies.

7. At the event: house rules and safety

Follow the instructions of staff, security and venue personnel. Access may be refused to anyone who is intoxicated, carries weapons or prohibited items, behaves aggressively, harasses others, or damages property.

You attend at your own risk as far as the law permits, and you are responsible for your personal belongings. Some sessions are recorded and published; clause 8 explains how we handle images.

8. Photography, filming and your image

We photograph and film the festival for documentation and communication: this website, social media, press material and reports to partners and supporters.

We aim for atmosphere and crowd shots and we do not publish identifiable portraits for promotional purposes without consent.

If you appear identifiably in published material and object, write to info@techlounges.com with the link or a description, and we remove or blur the material without undue delay.

Press and partners may use official photographic material only as described in clause 9.

9. Intellectual property

The site, the name Basel AI Festival, the logo, the texts, the layout and the photographs are protected by copyright and trademark law. Photographs by third parties are used under their licences and credited on the site and in the credits file published with it.

You may not reproduce, distribute or commercially exploit this content without our written consent. Media may use images and short excerpts for reporting on the festival, with attribution and a link to baselaifestival.ch.

Names and marks of third parties, including speakers' organisations and partner companies, belong to their owners and are used for identification only. Their use does not imply endorsement unless we state it explicitly.

If you send us material such as texts, slides or logos, you confirm that you hold the necessary rights and you grant us a non-exclusive, royalty-free licence to use that material to run and document the festival.

10. Partners and sponsors

Offers are non-binding until confirmed in writing by both sides. The signed offer or contract defines the package, the deliverables, the deadlines and the fee. Fees are exclusive of VAT unless stated, invoiced on confirmation and payable within 30 days.

Deliverables depend on the partner supplying logos, texts and approvals by the agreed deadlines. We do not guarantee visitor numbers, media coverage, sales or any other commercial result.

If a partner cancels in writing more than 60 days before the first festival day, 50% of the fee remains due plus costs already incurred; if the cancellation arrives later, the full fee remains due. If we cancel the festival, fees are refunded pro rata for deliverables not yet performed.

Exclusivity, category protection and additional benefits apply only where expressly agreed in writing. We may refuse or remove content that is unlawful, misleading, or incompatible with the purpose of the festival.

11. Liability

Nothing in these terms excludes or limits liability for unlawful intent or gross negligence, for death or personal injury, or any other liability that cannot be excluded or limited under mandatory law, including consumer protection law.

Subject to the previous paragraph, we are not liable for indirect damage, loss of profit, loss of data, loss of reputation or consequential loss; for programme changes, acts of third parties, or travel and accommodation costs; and the website is provided without any warranty of fitness for a particular purpose.

Subject to the first paragraph, our total liability is limited to the amount you paid for the ticket concerned, and for a partnership to the fees paid in the twelve months before the claim.

You indemnify us against third-party claims that arise from your breach of these terms, from content you supply, or from your infringement of third-party rights.

12. Personal data

How we process personal data is described in the privacy notice. This website sets no tracking cookies and uses no analytics.

13. Changes to these terms

We may amend these terms with effect for future use of the site or future events. The version in force when you register or purchase governs that transaction. Material changes are published on this page with a new version date.

14. Final provisions

If a provision of these terms is invalid or unenforceable, the remaining provisions stay in force and the invalid provision is replaced by the valid provision that comes closest to its purpose. A failure to enforce a right is not a waiver of that right. These terms and any signed agreement form the entire agreement between us on their subject. We may transfer our rights and obligations to a successor organiser; you may not transfer yours without our consent.

15. Applicable law and jurisdiction

Swiss law applies, excluding its conflict-of-laws rules and the United Nations Convention on Contracts for the International Sale of Goods.

The ordinary courts of Basel-Stadt have exclusive jurisdiction, subject to mandatory provisions that protect consumers, including Art. 32 of the Swiss Civil Procedure Code and, for consumers resident in the European Union or the EEA, the protections of their country of residence that cannot be waived.

Before starting proceedings, write to info@techlounges.com. Most questions are settled that way within a few days.
